Privacy Policy
This privacy policy explains how Martial Arts Group (MAG) handles personal data when you visit martialartsgroup.com or contact us. In short: this website sets no tracking cookies, contains no forms and collects only the data needed to answer you.
1. Who is responsible for your personal data?
Martial Arts Group (“MAG”, “we”, “us”) is the controller within the meaning of the General Data Protection Regulation (GDPR; in Dutch: AVG) for the processing of personal data described in this privacy policy. This policy applies to the website martialartsgroup.com and to the contact you have with us by email or telephone.
- Name: Martial Arts Group (MAG)
- Address: IJzerwerf 15, 2544 EP The Hague, The Netherlands
- Email: info@martialartsgroup.com
- Telephone: +31 6 30 31 25 80
2. Privacy at a glance
We have designed this website to collect as little personal data as possible. In short:
- This website does not use tracking, analytics or advertising cookies, which is why you will not see a cookie banner.
- This website does not contain contact forms, account registration or newsletter sign-ups.
- Fonts and images are served from our own website, so visiting a page does not send your data to third-party font or media services.
- We only receive personal data when you choose to contact us by email or telephone, and in the technical server logs needed to deliver the website securely.
3. Which personal data do we process, and why?
When you contact us by email or telephone. We process the details you share with us, such as your name, email address, telephone number, the organisation you represent and the content of your message. We use this information to answer your question, to arrange a meeting and, where relevant, to prepare and carry out a collaboration.
When you visit the website. Like any website, our web server automatically processes technical data that is required to deliver pages to your browser and to protect the website against misuse. This includes your IP address, the date and time of the request, the page requested, the browser and operating system used and the referring page. These server logs are used only for security, troubleshooting and the stable operation of the website, and not to build profiles of visitors.
When we work together. If you become a client, partner or athlete of MAG, we process the business contact details and information needed to perform our agreement and to meet our administrative and tax obligations.
4. On what legal basis do we process personal data?
We only process personal data where the GDPR provides a legal basis for doing so:
- Performance of a contract (Article 6(1)(b) GDPR): when we take steps at your request before entering into an agreement, or when we perform an agreement with you.
- Legitimate interests (Article 6(1)(f) GDPR): to answer questions you send us, to maintain business relationships, and to keep our website secure and available. We have weighed these interests against your privacy and keep the data involved to a minimum.
- Legal obligation (Article 6(1)(c) GDPR): for example, the statutory obligation to retain financial records.
6. Who has access to your personal data?
We do not sell personal data and we do not share it with third parties for their own marketing purposes. We only share personal data where this is necessary for the purposes described above:
- TRON Group — our technology partner, responsible for the hosting and technical management of this website. Where TRON Group processes personal data on our behalf, it acts as a processor within the meaning of Article 28 GDPR and only on our instructions.
- Providers of email, telephony and IT services that we use to communicate with you, acting as processors on our behalf.
- Partners within the MAG network — only if this is necessary to answer your question or carry out a collaboration, and only after we have informed you.
- Authorities and advisers — where we are legally obliged to do so, or where this is necessary to establish, exercise or defend legal claims.
We aim to have personal data processed within the European Economic Area. Where a service provider processes data outside the EEA, we ensure that appropriate safeguards are in place as required by the GDPR, such as an adequacy decision or the European Commission's standard contractual clauses.
7. How long do we keep personal data?
We do not keep personal data longer than necessary for the purpose for which it was collected:
- Correspondence about questions and enquiries: for as long as needed to handle your question and any follow-up, and in principle no longer than two years after our last contact.
- Data relating to clients and agreements: for the duration of the collaboration and afterwards for as long as necessary for legal claims.
- Financial and administrative records: seven years, in line with the statutory retention obligation under Dutch tax law.
- Server logs: for a limited period required for security and troubleshooting, after which they are deleted or anonymised.
8. How do we protect your personal data?
We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access. This website is served over an encrypted HTTPS connection, is built as a static website without databases or forms that store visitor data, and is technically managed by our technology partner TRON Group. Access to correspondence and client information within MAG is limited to the people who need it for their work.
9. What are your rights?
Under the GDPR you have the following rights with regard to your personal data:
- Right of access — to know which personal data we process about you and to receive a copy.
- Right to rectification — to have incorrect or incomplete data corrected.
- Right to erasure — to have your data deleted where there is no longer a valid reason to keep it.
- Right to restriction — to have the processing of your data temporarily limited.
- Right to data portability — to receive data you provided to us in a structured, commonly used format.
- Right to object — to object to processing based on our legitimate interests.
- Right to withdraw consent — where processing is based on consent, you may withdraw it at any time.
To exercise any of these rights, please email info@martialartsgroup.com. We may ask you to verify your identity before handling your request. We respond within one month of receiving your request; where a request is complex, this period may be extended as permitted by the GDPR, in which case we will let you know.
10. Where can you file a complaint?
If you have a complaint about how we handle your personal data, we would appreciate the opportunity to resolve it with you first, so please contact us. You also have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, via autoriteitpersoonsgegevens.nl, or with the supervisory authority in the EU member state where you live or work.
11. Links to other websites
This website contains links to external websites, such as Instagram, Google Maps, the websites of our platforms and those of our partners, including TRON Group. When you follow such a link, the privacy policy of that website applies. We recommend that you read those policies, as we are not responsible for how other organisations process personal data.
12. Minors
This website is not intended to collect personal data from children. If you are under the age of 16, please ask a parent or guardian to contact us on your behalf. If you believe that we have received personal data from a minor without such consent, please contact us so that we can delete it.
13. Changes to this privacy policy
We may update this privacy policy, for example when our services or the law change. The most recent version is always published on this page.
